Tidy a messy shared folder into a clear structure
- Who it's for
- Teams whose shared drive has grown out of control
- Outcome
- A tidy folder structure with files moved into place, and nothing deleted.
- Why Handoff 3
- Moving files is reversible if you keep the plan, but links and shortcuts can break.
Steps
- Make a backup or note that version history is on.
- Ask the agent to propose a folder structure and a move list (from, to). No changes yet.
- Edit the plan and approve it.
- Let it move files in small batches, reporting each batch.
- Keep the move list so you can undo it.
Copy-paste prompt
Works with any agent. Replace the [square brackets] with your details.
Look at the folder [name/path]. Do not change anything yet.
Propose: (1) a simple folder structure, and (2) a move list as a table: current path, new path, reason.
After I approve the list, move ONLY the approved files, in batches of 25, reporting each batch. Never delete, rename the contents of, or overwrite any file. If two files would have the same name, stop and ask me.Notes for each agent

Claude Suggested
Claude can only read and write files in folders you have connected, and Cowork asks for your explicit permission before permanently deleting files. In Claude Code, Manual mode asks before file edits.

Microsoft Copilot Suggested
At work, Researcher can draw on files you already have access to and cites its sources; it follows your existing Microsoft 365 permissions.

Open agents & automations Suggested
OpenClaw's exec approvals can limit which commands run and ask about anything else ('allowlist' or 'ask' modes). Start there rather than 'full'.
