Propose meeting times from your calendar in a reply draft

Handoff 2 Drafts for review Reviewed 14 Oct 2026 Set-up: 10 minutes

Who it's for
Solo operators who lose time to back-and-forth scheduling
Outcome
A draft reply offering three times that genuinely fit your calendar.
Why Handoff 2
The agent drafts the reply; nothing is booked or sent until you do it.

Steps

  1. Give the agent read access to your calendar, or paste your free slots.
  2. Tell it your rules: working hours, buffer between meetings, days you avoid.
  3. Ask for three options in the other person's time zone and yours.
  4. Read the draft, check the times, send it yourself.
  5. Add the meeting to your calendar yourself once they confirm.

Copy-paste prompt

Works with any agent. Replace the [square brackets] with your details.

Look at my calendar for [date range]. Do not create, move or accept any calendar events.

Find three 30-minute slots that fit these rules: [working hours, 15-minute buffer, no meetings on Friday afternoons].

Draft a short reply to [name] offering those three times, showing both my time zone ([zone]) and theirs ([zone]). Save it as a draft. Do not send it.

Notes for each agent

Only features we found in each provider's official documentation on 14 Oct 2026 are stated as product facts, with the source linked. Product features change; check before relying on them.

Claude Suggested

Ask Claude to save drafts, not send them. In Cowork's Manual mode it pauses for approval before using connector tools set to 'Needs approval'. Avoid 'Skip' mode for anything sent in your name.

ChatGPT Suggested

Before an app action such as sending an email, ChatGPT may show an approval card. Keep your email app on 'Always ask' or 'Allow read actions' so sending always needs your OK.

Gemini Suggested

Gemini can draft Gmail messages in chat (Google Workspace connected app required). The draft has a Send button, so read it first, or use 'Edit in Gmail' on the web to finish it in Gmail.

Microsoft Copilot Suggested

In Outlook, 'Draft with Copilot' writes a draft you edit and send yourself, and 'Coaching by Copilot' can suggest tone and clarity fixes.

Open agents & automations Suggested

In n8n, connect the send tool through a human review step: the workflow pauses and shows the exact message for Approve or Deny.

Common failure, and how to catch it

What goes wrong
Time-zone mix-ups, or offering a slot that is technically free but blocked in real life.
How to catch it
Ask for both time zones in the draft and keep personal blocks in your calendar.

Time and cost

Time to set up
10 minutes
Cost
Uses the AI plan you already pay for. Agent features (browsing, connectors, scheduling) may need a paid tier; check your plan before relying on them.
